Terms and conditions


THIS AGREEMENT  sets forth the terms under which we, FLAG TRAVEL  agree to provide you with the services and accommodations for your clients escorted tour or independent vacation.  This agreement does not apply to groups travel.

PRICES:  All prices may change up to the receipt of final payment due to any increase/decrease in our costs, such as, but not limited to: increases in land or sea fares, fuel cost, and currency fluctuations.

All taxes, fuel surcharges, security charges and any other taxes or charges imposed by airports, cruise lines, governments, etc. are not included in the price. After final payment the only price increases can be for newly imposed governmental taxes.

Gratuities not specifically mentioned are excluded. All tour prices are based on double occupancy.

RESERVATIONS AND PAYMENT: To process a reservation a deposit of 25% per person along with a completed and signed credit card authorization form is required.  The balance is due 60 days prior to departure.

FINAL DOCUMENTS: All documents are sent by FLAG TRAVEL  in a printable e-format. These e-vouchers are accepted by all service providers. It is recommended to print them, and or forward them to your clients. Some documents such as tickets to museums will be delivered locally and in that case will be clearly indicated on the e-voucher(s).

FINAL DOCUMENTS REVIEW: FLAG TRAVEL  makes all efforts to ensure the accuracy of all final documents based on the information that you have provided us with. We strongly recommend that you review the documents upon receipt and bring to our attention any correction before the client’s departure.  

UNUSED SERVICES: No refund will be given for any unused services that are a result of changes to the itinerary on the part of the client while traveling

ERRORS: In case of printing, typographical error, computer error, verbal or human billing error, we reserve the right to invoice or re-invoice participants with corrected billing.

BAGGAGE: Due to limited space in the trunks of vehicles, each passenger is limited to one large suitcase and one small carry on.

NAMES MUST MATCH PASSPORT:  The name(s) communicated to FLAG TRAVEL  must match the name on your client’s passport. Any variation between the spelling of your client’s name on your train ticket and passport may require re-ticketing.

FEES FOR TRAIN TICKETS REVISIONS/CANCELLATIONS:  Train tickets are not changeable and not refundable at any time. Any change to a train date, schedule or route will require the purchase of a completely new ticket.

FEES FOR CANCELED LAND SERVICES: If bookings are cancelled notice must be received via email at: Booking@ITMJourney.com. Cancellation fees are strictly enforced and apply as below.

61 days or more 20% of total per person

60 to 31 days 30% of total per person

30 - 15 days 50% of total per person

14 - 8 days 75% of total per person

7 days or less 100% of total per person

HOTEL OVERBOOKINGS: In very rare cases, and through no fault of FLAG TRAVEL , your clients reserved hotel may be overbooked upon their arrival. The overbooked hotel will offer a similar or superior accommodation at no extra charge. If the alternate accommodation is not accepted by your client, FLAG TRAVEL  reserves the right to offer you a full refund of such accommodation without rebooking.

TRAVELLERS REQUIRING SPECIAL ASSISTANCE: Any disability requiring special attention should be reported to us at the time that the reservation is made. We will make reasonable attempts to accommodate the special needs of travelers, but are not responsible for denial of services by carriers, hotels, or other suppliers.  We regret that we cannot provide individual assistance for walking, dining, getting on and off motor coaches and other transportation vehicles, or other personal needs. Travelers who need such assistance must be accompanied by a qualified companion. We will also make reasonable efforts to secure special request and dietary needs, however these cannot be guaranteed. We cannot be held responsible for the failure of hotels or other supplier to deliver such requests.

ESCORTED TOUR ITINERARY CHANGES: FLAG TRAVEL  reserves the right to change the scheduled escorted tour itinerary or trip features at any time such as hotels or features of a similar category for those listed in this brochure / website.  In the event that a change needs to be made we will inform your client locally

ESCORTED TOUR CANCELLATIONS BY FLAG TRAVEL : From time-to-time a tour departure may be cancelled for lack of participation or other operational reasons. In such a case, FLAG TRAVEL ’ sole responsibility is to provide a complete refund of monies received without any other liability whatsoever including any additional costs or fees related to cancellation of airline tickets or other travel reservations not made by FLAG TRAVEL

RESPONSIBILITY: FLAG TRAVEL  and their employees, shareholders, officers, and directors does not own or operate any entity which is to or does provide goods or services for your trip, including, for example, lodging facilities, transportation companies, guides or trip leaders, food service providers, equipment suppliers, ground operators, etc., including, without limitation, various entities which may utilize our name. FLAG TRAVEL  is not responsible for any negligent or willful act or failure to act of any such person or entity, nor for any act or inaction of any other third party not under its control.

Without limitation FLAG TRAVEL  is not liable for any direct, indirect, consequential, or incidental damage, injury, death, loss, accident, delay, inconvenience, or irregularity of any kind which may be occasioned by reason of any act or omission beyond its control, including, without limitation, any willful or negligent act, failure to act, breach of contract of any third party, such as an airline, train, hotel, restaurant, or food supplier; bus, taxi, van, or local ground handler; local outfitter or guide, which is, to, or does supply any goods or services for this trip.

FLAG TRAVEL  is not responsible for any loss, injury, death, or inconvenience due to delay or changes in schedule or failure of any transportation mechanism to arrive or depart safely; overbooking or downgrading of accommodations; insolvency or default of any third party; acts of government; bites or attacks by animals, insects or pests; sickness; the lack of appropriate medical care; evacuation to same, if necessary; weather; strikes; acts of God; acts of terrorism or the threat thereof; events of force majeure; war; quarantine; epidemics or the threat thereof; criminal activity; or any other cause beyond its control. FLAG TRAVEL  is not responsible for typographical errors.
